From proforma invoice to origin certificate, CE marking to test reports: six documents buyers ask for.
In natural stone exports, documents matter as much as product quality. A missing or wrong document can cause days of waiting at the port and extra costs. This article summarises the six documents buyers ask for most often and the related standards. The information is a general framework; each country's customs regulations may differ.
1. Proforma and commercial invoice
The proforma invoice states the product name, size, finish, quantity, unit price, Incoterm and payment terms. Production starts after the buyer confirms it. The commercial invoice is issued with the same information after shipment.
2. Packing list
For each bundle it states the number, slab count, size, m², and net and gross weight. It is required to confirm the accuracy of the load in customs checks at the port.
3. Certificate of origin
Issued by the chamber of commerce and industry, this document proves the product is of Turkish origin. Some countries (e.g. Gulf states) require it to be consular-legalised. For shipments to the EU an A.TR or EUR.1 movement certificate may also be needed.
4. CE marking and declaration of performance
Natural stone products sold in Europe must be CE-marked according to the relevant harmonised standards (e.g. EN 1469 cladding slabs, EN 1341 external paving) and accompanied by a declaration of performance. Petrova prepares these documents for each batch.
5. Test reports
Reports for water absorption, density, compressive and flexural strength, frost resistance and slip resistance come from accredited laboratories. In large projects additional tests (e.g. abrasion, chemical resistance) may be requested for specification compliance.
6. Loading photos and insurance
Photos and video taken during loading serve as evidence in the event of damage disputes. Because of stone's fragile nature, marine cargo insurance (ICC A clauses) is recommended. All of it is sent to the buyer by Petrova's export team on the day of shipment.
Common mistakes
- Mismatch of m² or weight between invoice and packing list
- HS-code errors on the certificate of origin (group 6802 and 2515 for natural stone)
- Test reports that are out of date or carry a different batch number
- Insurance cover lower than the value of the goods
All of these mistakes can be avoided. Petrova's export team applies a document checklist before every shipment and sends the buyer a draft document set before shipment day. We remind you that this information is not legal advice and that you should consult your customs broker for current regulations.
